The same reminder to every late payer damages the accounts you value
A timed cadence treats a twenty-year customer the same as a first-time buyer who has gone silent. The relationship is worth more than the invoice.
The right action depends on why the payment is late. If the issue is a dispute, resolve the dispute. If it is an administrative delay, contact someone else. If the customer is in genuine difficulty, you need a conversation rather than a fourth email.
Tone escalation is what automation handles worst. A firm message too early damages goodwill. A mild one too late is useless. The right moment differs from account to account.
Who you contact also changes. If the invoice sits with accounts payable, contacting the original buyer sends a message to someone who cannot act on it.
How the agent is built in Agent Studio
Prompt skills hold the tier policies for tone and timing: how you handle strategic accounts, standard accounts, and individual buyers, and the point at which each moves to the next level.
The system prompt tells the agent to identify the most likely cause of the delay before it chooses an approach. It also states when to stop automated chasing entirely: an open dispute, an active support escalation, or a payment plan in process.
A Start Scheduled flow assembles the full picture. A PostgreSQL node supplies aged debt. A Salesforce or HubSpot node supplies the relationship and any open issues. An Email node supplies earlier correspondence about that invoice.
For each overdue invoice, Agent Chat returns who to contact, when, what tone to use, and a draft message.
Every draft goes through a Human in the Loop step because collections have legal and interpersonal weight. Approval stays on every message. It is not a check you later drop.
After Resend or Email sends the message, Google Sheets logs what was sent and what was paid. That log is the only reliable evidence of whether the tiering works.
What this agent is built from
- Prompt skills: hold a per-tier policy for tone and timing across account types.
- System prompt: identifies the likely reason for lateness and the conditions that stop chasing entirely.
- PostgreSQL (Data): supplies aged debt. Salesforce adds relationships and open issues.
- Agent Chat (Util): returns contact, timing, tone, and a draft for each overdue invoice.
- Email (Human in the Loop): holds approval on every message, permanently rather than temporarily.
- Google Sheets (Integration): logs messages against payments to test the tiering.
- When an ActionFlow is enough: If a polite reminder at a fixed number of days is enough, that is a workflow. For a small ledger, it is the right amount of machinery.
