An evasive answer and a missing answer need different follow-ups
Supplier questionnaires accumulate into a queue. Going through 40 answers against your criteria is slow work, so onboarding waits on legal rather than the other way around.
Finding incompleteness and finding concern are distinct. A blank field is an administrative chase. A response that technically addresses the question but actually avoids it is a different matter. If both are sent with the message "please complete", the evasive answer is filled in with the same content.
A supplier who claims to have a certification is not the same as one who has attached the certification. If a questionnaire process never verifies the attachment, it is only checking claims, not facts.
The scores are based solely on the criteria. Your business decides whether a supplier's risk profile is acceptable. In regulated environments, that question must go to your advisers.
How the ActionFlow runs on the canvas
The criteria sit in an Airtable node that specifies each question, what constitutes an adequate answer, the kind of evidence that should accompany it, and the weight assigned to it.
A Webhook trigger takes the completed questionnaire. Document Upload and PDF4me handle any attachments.
The Generate Object node evaluates each answer against the criterion row and returns four results: adequate, incomplete, evasive, or concerning. For any case other than adequate, it includes the answer text.
Distinguishing incomplete from evasive decides whether you chase the answer or assign a reviewer.
A Filter node compares claimed evidence with the actual attachment and produces a list of those without documents.
A Math node produces a profile rather than a single number, because a single score would hide which area is weak.
A Notion node writes the assessment. A Slack node forwards messages about the matter to legal. A Resend node prepares a follow-up request for incomplete items, which is held for approval.
The flow never decides whether to approve a supplier.
Nodes this ActionFlow uses
- Airtable (Integration): holds each question, what an adequate answer contains, and its weight.
- Webhook (Trigger): receives the completed questionnaire.
- Document Upload (Data) plus PDF4me (Data): capture and extract attachments.
- Generate Object (AI Core): returns adequate, incomplete, evasive, or concerning, with quotes.
- Filter (Data): lists claimed evidence with no attached document.
- Math (Util): applies your weights to produce a profile rather than one score.
- Resend (Communication): prepares the chase for incomplete items, held for approval.
- Slack (Human in the Loop): routes concerning answers to legal for a decision.
