Renewals are lost on the calendar, not in the negotiation

Nobody forgets a renewal on purpose. They miss it because the reminder arrived during a busy week, was acknowledged mentally, but never became an action.

A single notification invites forgetting. It discharges the system's obligation but does nothing about the human one.

Escalation is the entire mechanism. A first reminder goes to the owner, a second when nothing has changed, then the manager. This is not because the owner is careless, but because a message that repeats with rising visibility is the only reliable way to convert intention into a calendar entry.

The threshold that matters is the notice period, not the end date. Passing the notice period removes the options, and a reminder arriving after it notifies of a loss.

How the ActionFlow runs on the canvas

Contract records live in Google Sheets, Airtable, or a PostgreSQL node, or in the CRM through a Salesforce node. A Start Scheduled node reads them daily.

A Filter node keeps only the records inside the notice window. Working from the notice period rather than the end date is the single most important configuration in this flow.

An If node checks the acknowledgment state on each record. Unacknowledged records that have already had a first reminder route to the escalation branch. New ones get the first notice.

Slack notifies the owner. A Wait node then holds the escalation branch for the interval you set before the If node re-evaluates. This is what turns a reminder into a sequence without a second scheduled flow.

If the record is still untouched, a second Slack node notifies the manager, and the account team channel receives the third notification.

Every notification writes its state back to the record so the flow knows what it already sent. Without that write-back, a daily schedule produces identical messages daily, training people to ignore the channel.

Email or Resend covers anyone not in Slack, and Teams or Telegram fit the same slot.

Nodes this ActionFlow uses

  • Start Scheduled: reads the contract set daily.
  • Google Sheets (Integration): holds the contract records. Airtable, PostgreSQL, and Salesforce fit the same slot.
  • Filter (Data): keeps only records inside the notice window, not the end date.
  • If (Control): separates first notices from escalations by acknowledgment state.
  • Wait (Control): holds the escalation branch for the interval you set.
  • Slack (Communication): notifies owner, then manager, then the account team.
  • Resend (Communication): reaches anyone outside Slack. Email, Teams, and Telegram fit the same slot.
